Which data we process.

We only process the data you give us yourself and the technical data that is needed to run our website. Depending on the contact you have with us, this may include:

Contact and quote details: name, company name, email address, telephone number and the contents of your message.
Application details: name, contact details, your CV and any further information you provide when applying for a job.
Client records: the data needed to carry out an assignment and to invoice it, such as contact persons and the agreements made.
Technical website data: data your browser sends automatically, such as your IP address and the page requested, used to keep the site working and secure.

We do not knowingly collect special categories of personal data through this website and we ask you not to send us such data unsolicited.

Why we process it.

We use your data only for the purposes for which you provided it:

To answer your question, prepare a quote and stay in touch about it.
To enter into and carry out an assignment, and to handle the related administration and invoicing.
To assess your application and, if relevant, to contact you about a vacancy.
To keep the website working, secure it and prevent misuse.
To comply with statutory obligations, for instance our tax record-keeping duty.

Legal basis.

We process your personal data only where the General Data Protection Regulation (GDPR) allows it. Depending on the situation, we rely on one of the following grounds:

Performance of a contractCarrying out an assignment and the related administration.

Steps before a contractAnswering a question or preparing a quote at your request.

Legal obligationKeeping records we are legally required to keep, such as invoices.

Legitimate interestKeeping our website secure and running our business, weighed against your interests.

ConsentWhere we ask for it explicitly; you may withdraw consent at any time.

Sharing with others.

We do not sell your data and we do not share it with third parties for their own marketing. We share data with others only where it is needed to do our work or where the law requires it:

Hosting provider that hosts our website and email. Our website is hosted by Strato.
Email provider for receiving and sending email, including the messages and confirmations sent through our forms.
Google Maps, which provides a map of our location on our contact page. Google may process technical data about your visit; see Google's privacy policy.
Advisers and authorities where we are legally obliged to provide data, for example to the tax authority.

We enter into written data processing agreements with the service providers that process data on our behalf.

We store data within the European Economic Area (EEA) where possible. If a provider processes data outside the EEA, we ensure there is a valid transfer mechanism in place.

How long we keep it.

We do not keep data for longer than necessary for the purpose for which we collected it, unless a longer statutory retention period applies.

Enquiries and quotesKept for up to 12 months after the last contact.

ApplicationsRemoved within four weeks of the procedure ending, or kept for up to one year with your consent.

Financial recordsKept for seven years to meet our statutory record-keeping obligation.

Technical logsKept only briefly for security and troubleshooting.

Security of your data.

We take appropriate technical and organisational measures to protect your data against loss and unlawful access. Access to personal data is limited to people who need it for their work. Under the GDPR you have the following rights regarding your personal data:

Access: to see which data we hold about you.
Rectification: to have incorrect data corrected.
Erasure: to have your data deleted where there is no longer a reason to keep it.
Restriction: to have processing limited in certain cases.
Objection: to object to processing based on our legitimate interest.
Data portability: to receive the data you gave us in a common format.
Withdrawal of consent: to withdraw your consent where processing is based on it, without affecting earlier processing.
